These days, everyone is concerned about the impact we are having on the environment and wants to do their bit to help. Below are some real ways on how to host an environmentally friendly event that will benefit both you and the world.

Eco-friendly

 Make a clear list of the largest energy consuming aspects

Lighting, heat, air travel, ground transportation, materials productions, etc. Ask the question: how can I reduce the energy needs for this event? Larger events will need the assistance of a professional evaluator.

 

 Engage your community

Ask them how your organization could reduce energy.

 

 Environmental policy

Determine the environmental policy you plan to implement then put it into writing. Get funding from the meetings host organization then share the policy with suppliers and speakers who will most likely be eager to help you go green.

 

 Green policy

Make sure the venues you use have recycling policies and facilities available. Ask them about their energy policy and how they can help ensure as much natural light and ventilation is used as possible. Also, make sure that the environmental policies of the venue and any hotels being used are on display.

 

 Opt for energy efficient alternatives

  • Compact Fluorescent Light (CFL) or Light Emitting Diode (LED). They are more environmental friendly alternatives and reduce your energy usage by up to 75%.
  • Ensure all equipment is switched off over night.

 

 Use local businesses for service and supplies

  • When people think of “going green,” the environmental piece usually comes to mind first, but sustainability also includes important economic and social components. By utilizing local businesses for service and supplies, provide a bump to the local economy, reduce shipping, packaging and other waste.
  • Ask your suppliers what they are already doing to reduce their environmental impact and what environmental standards they meet.

 

 Communication

  • Reduce your paper usage by offer electronic registration, Feedback forms, etc.
  • Use of the internet via a site that’s a central point for information.
  • Use of social networks, emails and SMS to spread news.
  • If you must print documents for your event, be sure to use recycled paper and print on both sides.

 

 Transportation

Do encourage people to carpool or to utilize public transportation instead of driving. Keep in mind that excessive vehicle emissions contribute to global warming – let’s all do our part to reduce the effects of climate change!

 

 Materials

Use environmentally friendly products such as recycled paper, cups, bioplastic materials for trays and bowls, bamboo or corkboard for hanging signs and banners, wood tables that can be recycled after the event, etc. Think about the effect your event will have on the environment and look for ways to use recycled or recyclable materials.

 

Catering

  • Opt for a local catering company that specializes in organic food. Providing organic fare will assist in reducing carbon emissions of your event. Some eco-conscious catering companies even offer compost services! Do some research to find a local catering company that values a low carbon footprint.
  • Check that the food waste goes to a local compost scheme or similar.
  • For beverages, consider serving craft beers or wines from a local brewery or vineyard. And stay away from plastic water bottles, opting to use filtered tap water instead.

 

 Cleaning

  • Use dustbins to avoid littering around the surrounding.
  • Plan for cleaning up of area during the event or after the event.
